This Privacy Policy (hereinafter referred to as the "Policy") defines the procedure for processing and protecting personal data of users of the SoulMindCards website and platform (hereinafter referred to as the "Platform"), available at https://soulmindcards.com/.

By using the Platform, you confirm that you have read this Policy and agree to the terms of processing your personal data. If you do not agree with the Policy, please do not use the Platform.

2. What Data We Collect

2.1. Data you provide directly:

  • When requesting access and registering: name, email address.
  • When contacting us via the feedback form: name, contact details, message text.

2.2. Data about the specialist's work with clients

Specialists (psychologists, coaches) may enter information about their clients and sessions on the Platform, including:

  • client's name or designation;
  • client's request;
  • cards used during the session;
  • session notes;
  • emotional state marks;
  • progress data.

This information may relate to special categories of personal data. The specialist is responsible for obtaining the client's consent for entering such data (see section 8).

2.3. Data collected automatically:

  • Technical data: IP address, browser type and version, device, operating system.
  • Usage data: pages visited, actions on the Platform, date and time.
  • Cookies and similar technologies (see section 7).

3. Purposes of Data Processing

We process personal data for the following purposes:

  • providing access to the Platform and its features;
  • user registration and authentication;
  • maintaining session records, tracking progress and generating analytics for the specialist;
  • responding to inquiries via the feedback form;
  • ensuring Platform security and protection against fraud and spam;
  • improving Platform performance;
  • compliance with legal requirements.

4. Legal Basis for Processing

Personal data is processed based on:

  • consent of the data subject;
  • necessity to provide Platform services;
  • legal requirements;
  • legitimate interests of the Operator (security, service improvement), provided they do not infringe on the rights of data subjects.

5. Data Transfer to Third Parties

We do not sell personal data. Data may be transferred to:

  • infrastructure and service providers that support the Platform (hosting, cloud storage, email delivery, spam protection, analytics, AI processing) — to the extent necessary for service provision;
  • authorized government bodies in cases provided by law.

We engage the following categories of processors:

  • hosting provider;
  • S3 storage;
  • email service;
  • captcha service.

6. Data Storage and Protection

We store personal data for the period necessary for the purposes of processing or for the period established by law. After the purposes are achieved or upon request of the data subject, the data is deleted or anonymized.

We apply organizational and technical protection measures:

  • data transmission via secure protocol (HTTPS);
  • file storage in a closed repository with access via temporary links;
  • access rights restrictions;
  • form protection against automated requests.

No method of data transmission or storage is absolutely secure, therefore we cannot guarantee absolute protection.

7. Cookies

The Platform uses cookies and similar technologies for authentication, saving settings, security, and analytics. You can disable cookies in your browser settings, however this may limit the functionality of certain Platform features.

8. Client Data of Specialists

If you use the Platform as a specialist and enter data about your clients, you act as the person determining the purposes of processing this data within your professional activity. You are obligated to:

  • obtain the client's consent for processing their personal data;
  • inform the client about what data is entered on the Platform;
  • use client data only for lawful professional purposes.

The Operator processes this data on behalf of the specialist to the extent necessary for providing Platform features.

9. Rights of Data Subjects

You have the right to:

  • receive information about the processing of your personal data;
  • request correction, blocking, or deletion of data if it is incomplete, outdated, or processed in violation of the law;
  • withdraw consent to data processing;
  • appeal the Operator's actions to the authorized body for the protection of personal data subjects' rights.

10. Processing of Minors' Data

The Platform is not intended for independent use by persons under 18 years of age. If work is conducted with a minor client, the specialist is responsible for obtaining consent from their legal representatives.

11. Policy Changes

We may periodically update this Policy. The new version takes effect from the moment it is posted on the Platform, unless otherwise specified. The date of the last update is indicated at the beginning of the document.
